Privacy notice (POPIA)

This notice explains what personal information Cabin and Body Spares (Pty) Ltd (“C.A.B.S”, “we”) collects through truckcabs.co.za and when you contact us, why we collect it, who we share it with and how long we keep it. It also explains your rights and how to use them. It is written to meet the Protection of Personal Information Act 4 of 2013 (POPIA).

What we collect
When you send an enquiry
Our enquiry, quote list and contact forms ask for:
- your name, mobile number and email address;
- your province (optional);
- how you would like us to reply: WhatsApp, phone or email;
- your message, for example your truck’s make, model, year or VIN;
- the items on your quote list, with any quantities and notes you add;
- up to three photos, if you choose to attach them on the contact page.
With each enquiry we also record the date and time, the address of the page you sent it from, that you accepted this notice, and a scrambled (hashed) form of your internet (IP) address that helps us spot abuse. We do not store your IP address itself.
Your name, mobile number, email address and message are required: without them we cannot reply to you. Everything else is optional. Before we store a photo, we remove the hidden details that phones and cameras add to it, such as where and when it was taken.
When you contact us directly
If you call, email or WhatsApp us, we receive the details you choose to share, such as your name, number and messages.
When you browse the website
We use Google Analytics to understand how the website is used: which pages are viewed, how visitors found us, the type of device and browser, and the approximate area (city or region). Google Analytics does not store your IP address. When you send an enquiry, we let Google Analytics know that an enquiry was sent, with its reference number and how many items it listed, but not your name or contact details. See “Cookies and your browser” below.
Your quote list is saved only in your own browser. It is not sent to us until you send the enquiry.
Why we use it
- to answer your enquiry: check stock and fitment, give you a price, and arrange a viewing, collection or transport;
- to supply and invoice the items you buy, and to deal with any questions, returns or warranty claims afterwards;
- to keep the records our business needs and the law requires, such as tax records;
- to protect the website and our inboxes from spam and abuse;
- to understand how the website is used, so that we can improve it.
We use your information because you asked us to (to answer your enquiry or take your order), because we need it to carry out a sale with you, because the law requires it, or because we have a legitimate interest in running and protecting our business. We do not sell your personal information, and we do not send you marketing messages unless you have agreed to receive them.
Who we share it with
- Our team: only the C.A.B.S staff who deal with enquiries and sales.
- Our hosting provider: the website, its database and our email are hosted by a South African hosting company, on servers in South Africa.
- Google: for Google Analytics, as described above.
- WhatsApp: if you message us on WhatsApp, your messages go through WhatsApp (owned by Meta) under its own privacy policy.
- Transport companies: if we arrange transport for you, we give them the name, number and address they need for the delivery.
- Authorities: when the law requires us to, for example in response to a lawful request from SARS or the police.
Anyone who handles personal information for us must keep it confidential and secure.
Information sent outside South Africa
Your enquiry is stored in South Africa. Google and WhatsApp may store and process information on servers in other countries. We only use services that are bound by data protection laws or agreements that give protection comparable to POPIA, as section 72 of POPIA requires.
How long we keep it
We keep personal information only for as long as we need it for the purposes above, or for as long as the law requires.
- Enquiries marked as spam are deleted after 30 days.
- Closed enquiries (whether or not they led to a sale) are deleted 24 months after we last worked on them.
- A deleted enquiry can be restored by our administrators for 30 days, in case it was deleted by mistake. After that it is erased for good, with any photos.
- Invoices and other records that the law requires us to keep, for example for tax, are kept for the period that law sets.
- Google Analytics keeps detailed visit data for no longer than 14 months.
How we protect it
- The website uses an encrypted (HTTPS) connection.
- Photos sent with enquiries are stored in a private folder that cannot be opened from the internet.
- Enquiries can only be viewed by our staff, after signing in to the website’s admin with their own account. What each person can do depends on their role.
If we have reason to believe that your personal information has been accessed without permission, we will tell you and the Information Regulator, as POPIA requires.
Cookies and your browser
The website itself does not set cookies on your device. Google Analytics does: its cookies (named _ga and _ga_ followed by a code) recognise a returning browser so that visits can be counted, and they do not contain your name or contact details. You can block or delete cookies in your browser’s settings, or install Google’s opt-out add-on. The website works fully without them.
Your quote list is kept in your browser’s local storage, not in a cookie. It stays there until you send your enquiry or remove the items.
Links to other services
The WhatsApp buttons open WhatsApp, and “Get directions” opens Google Maps. When you use them, WhatsApp’s and Google’s own privacy policies apply.
Children
This website is meant for adults buying truck cabs and parts. We do not knowingly collect information about children.
Your rights
Under POPIA you may:
- ask whether we hold personal information about you, and ask for a copy of it;
- ask us to correct information that is wrong, or to delete information that we no longer have a reason to keep;
- object to us using your information, for example for marketing;
- withdraw your consent where we rely on it;
- complain to the Information Regulator.
